Office Printer Solutions

Finding a printer for the office is often not that easy. For the paperwork of a self-employed person other devices are needed than in a small office in which several employees want to print. As well as printers for home use, therefore, office printers must meet quite different requirements. That's why flexibility is needed. But what should you watch out for when you want to buy a printer for the office?

Is a printer needed at all?

Letters are no longer sent by post, but by e-mail. More and more data is stored electronically. For many years, therefore, there was a vision of a completely paperless office, where no printers are needed at all. In the meantime, however, this idea seems outdated, because hardly anyone wants to forego having important documents in print in front of them. Especially for important presentations, most people also want to hold their paper notes in their hands. An office that does not need a printer is therefore a rare exception rather than the rule. However, modern printers can do much more than just print. They are veritable document centers that perform multiple functions at the same time.

The Right Printer for the Self-Employed

No-one can handle the hassle of paperwork, whether acting as an insurance agent or a craftsman. Offers, invoices and letters must be created, printed and sent. In most cases, self-employed people handle these tasks of multifunction devices. You can print to

  • ,
  • scan,
  • copy

, and you can even fax. While previously only laser printers were used in the office sector, the picture has changed in recent years. Office inkjet devices are becoming increasingly popular, not least because of lower-priced XXL printer cartridges and waterproof inks. Such 4-in-1 multifunction devices are available from a price of 200 euros.

Freelancers often work with pre-printed papers that already contain the head and foot sections. Therefore, an office printer should have two paper cassettes: in one, the preprinted company paper can be placed, in the other, the normal paper for all other printing tasks. In addition, care should be taken when purchasing that the printer is easy to use - preferably without the computer. So you can quickly send a fax or make a copy without having to wait for the PC to start up.

For the small office there are document centers

In smaller offices, where several employees work, the Printer of course be a size bigger. Here a device should be used, which can hold a large paper supply. Otherwise, one is constantly busy with the refilling of the paper when many employees use the printer. For small offices, flexible office multifunction devices are available, which can be expanded as desired. Here, you first buy only the base unit and can later acquire many additional modules to improve the functionality. With convenient paper cassettes or more storage space, the printer center grows with the office, so to speak.

Another practical feature of office devices is that they can be tailored to suit employees. So you can specify that from a workstation only black and white may be printed, while the next job and color prints are allowed. Such control tools are already included with good office printers. They can be read by authorized persons so that it is possible to determine exactly which workstation needs which consumables. Thus, the devices provide a good approach to fairly distribute or save costs.

Laser printers are still recommended for large offices.

Previously, the office sector was used exclusively for laser printers, so the question of the right printers for the office did not arise at all. In the meantime, multifunctional office devices are displacing more and more laser printers, especially in smaller offices.

The situation is different in large offices, where a large number of employees are employed. Here, the laser printer is still the best choice. It is even more expandable than an office inkjet printer and can therefore be adapted even more flexibly to the needs of different office staff. In addition, laser printers operate much faster than the models using the inkjet technique. Especially in offices with many employees, laser printers can avoid annoying waiting times.

The maintenance of these printers is also easier. Even after long pauses in printing, such as after company holidays, these devices are immediately ready for use again. Inkjet printers, on the other hand, often struggle with dried-up ink, which means they have to do a cumbersome cleaning first. Laser printers do not have any problems at all, because of course the toner particles can not dry out.

Further Tips for Buying a Office Printer

It is certainly a matter of taste if you end up equipping your office with an inkjet or laser printer. In general, I should not be fooled by the purchase of a office printer but at too low purchase prices. Often, the manufacturers get the money that is saved when buying on the consumables again. Which cartridge fits in which printer can be easily found out using an ink and toner scanner. It's always worth taking a look at the cost of ink cartridges and toner and figuring out what running costs are for each printer.
